Works with any invoice format — plain email, PDF, forwarded message. If your subbie sent it, SubiDesk can read it.

Three steps. Then it’s done.

01

Subbie emails their invoice

Any format. A proper PDF, a plain text email, even a list of days and rates. No templates, no training your subbies to do it differently. If they emailed it, we can read it.

02

SubiDesk reads it and calculates CIS

AI extracts every line item and classifies it. Labour and mileage — CIS applies. Materials, subsistence, VAT — CIS does not apply. HMRC compliant per the CIS 340 guidance.

03

Draft bill appears in Xero

Every line item. Correct CIS deduction labelled clearly. Ready for you to review and approve. Nothing posted without your sign-off.

Everything a bookkeeper does.

Without the bookkeeper.

Any invoice format

Plain email, PDF attachment, forwarded message — SubiDesk reads them all. No special format required from your subbies.

Correct CIS deduction every time

CIS only on labour and mileage. Materials, VAT and subsistence excluded automatically. HMRC compliant per CIS 340.

Xero integration

Draft bills posted directly to your Xero account. QuickBooks and Sage integrations coming soon.

Duplicate detection

Same invoice sent twice? SubiDesk catches it before it hits Xero. Flagged and logged automatically.

Built for contractors running CIS teams.

If you have subbies, pay them weekly, and spend Friday afternoons chasing invoices and doing maths — this was built for you. SubiDesk was built by a contractor who spent 16 years as a subbie and ran his own teams before that. We know what Friday afternoon looks like. We built the thing we wished existed.

SubiDesk is right for you if:

  • You have between 1 and 50 subbies on CIS
  • You use Xero for your accounts
  • Your bookkeeper is retiring, too expensive, or you never had one
  • You're tired of chasing subbies to send their invoices
  • You want the CIS maths done correctly without thinking about it

SubiDesk is not for you if:

  • You have no subbies on CIS
  • You don't use Xero (QuickBooks/Sage coming soon)
  • You want a fully managed bookkeeping service

Common questions

What is CIS and how does SubiDesk handle it?

CIS (Construction Industry Scheme) requires contractors to deduct tax from subcontractor payments and send it to HMRC. SubiDesk calculates the deduction correctly — applying it only to labour and mileage, not materials, VAT, or subsistence, in line with HMRC CIS 340 guidance.

Does SubiDesk work with Xero?

Yes. SubiDesk posts draft bills directly to your Xero account with all line items and the CIS deduction clearly labelled. QuickBooks and Sage integrations are in development.

How do subbies send their invoices?

They email them to a dedicated inbox. Any format works — PDF, plain text, a list of days and rates. SubiDesk reads all of them. No special format required.

Is it HMRC compliant?

Yes. SubiDesk applies CIS deductions in line with HMRC CIS 340 guidance — labour and mileage are subject to deduction, materials and VAT are not. You should always review draft bills before approving them in Xero.

How much does SubiDesk cost?

Launch pricing starts at £67/month for up to 5 subbies, £99/month for up to 15, and £179/month for unlimited subbies. Launch pricing locks in for life for the first 10 customers. Standard pricing is £99, £149, and £249/month respectively.

What happens if a subbie sends the same invoice twice?

SubiDesk detects duplicates automatically and blocks the second submission before it reaches Xero. It gets flagged in your admin dashboard and labelled in Gmail.

Do I need to train my subbies to use it?

No. Subbies just email their invoice as they normally would. SubiDesk handles the reading and processing automatically.
